Operations Executive

Job Purpose: To contribute towards operational excellence within the Business Unit to ensure consistency and standards are maintained. Working with the Operations Manager to support and develop the client teams via the creation of operational processes and by review of existing processes in line with client guidelines.

Project/Operational Management:

  • Responsible for maintaining and reviewing client SOPs and implementing KPIs to measure performance
  • Ensure usage of Standard Operation Procedures by project teams, resulting in consistency and standardisation in delivery of all events
  •  Create and implement Standard Operating Procedures where necessary to provide efficient working practice
  • Understand, apply and promote the company’s Vision and Values through all operation functions
  • Assist Operations Manager in organising team events and meetings

Client Liaison and Development:

  • Liaise with the client regarding current processes and cascade any relevant information to the project team
  • To fully understand changes within client requirements and work with Operations Manager to proactively implement solutions for the client and project teams
  • Monitor project team activity in line with client contractual obligations and work with the Operations Manager to provide effective solutions to improve performance (working smarter not harder)
  • Preparation of critical information and materials for client review, audit and planning meetings
  • Assess client evaluations post event and advise the teams on areas to add value for the future and in time identify gaps within current processes

Financial Management:

  • Maximise the efficiency of the team resources and time management, to ensure optimum net margin
  • Ensure that cost avoidance/saving measures are identified, quantified and reported
  • Ensure compliance with company and client invoicing processes

Staff Development, Motivation and Management:

  • Assist the Operations Manager with delivering sharing best practice sessions and refresher training as appropriate
  • Work with the Operations Manager to identify training requirements for the project team
  • Work within your peer group to ensure consistency across the operations team

General:

  • Attendance and contribution at team meetings
  • To work with appropriate support departments to ensure the effective delivery of client KPIs
  • Ensure compliance with all company and client policies and procedures
  • Comply with all client and company privacy and security protocols
  • Achieve all client and/or company driven service level agreements (SLAs) for all events
  • Develop and apply a good understanding of clients’ businesses and products
  • Assist new starters by taking on the role of ‘Buddy’ when required
  • Understand, apply and promote the company’s mission, vision and values at all times
  • To achieve quality and accuracy of output in line with company processes and client expectations
  • To organise, plan and prioritise own workload to meet objectives and deadlines
  • Work within the company health and safety policy

Skills / Qualifications / Knowledge:

  • Operational background or experience preferrable
  • Demonstrates strong detail focus
  • Accurate written and verbal communication skills
  • A focus on accuracy, consistency and dedicated to customer service
  • Intermediate level Excel, Word and PowerPoint skills
  • Ability to work within a team as well as independently
