Technology Executive

Job Purpose : To support in the development of event applications and websites, using third party suppliers and other resources in the preparation, planning and delivery both on-site and remotely.

Reporting to : Account Manager

Responsibilities

System Build and Management:

  • Set-up and administer event applications and websites in line with specification agreed by client and Project Manager
  • Manage the invitation process to the event applications
  • Manage engagement tools (e.g. Q&A / polling)
  • Brief technology suppliers to obtain quotes, review quotes and reconcile costs
  • Ensure all deadlines are met for each project
  • Liaison with the project delivery team and client with development of all technology elements of the event
  • Ensure the Project Manager is up to date will all aspects of the website and / or event application
  • Manage and co-ordinate client requirements with all technology suppliers
  • Work with Studio Manager to resource creative staff required
  • Contribute to project running order where applicable
  • Support project delivery team to contribute with weekly status reports, call agendas, minutes and critical dates planners
  • Travel on-site to conduct site inspections and undertake planning meetings with all suppliers when required
  • Travel on-site to manage technology requirements
  • Travel on-site as part of an on-site team when required
  • Ensure delivery of all events in accordance with regulatory and client-defined compliance guidelines
  • Deliver first class customer service in line with clients’ objectives
  • Add value to clients’ events through advising on beneficial additional services; creative ideas; business solutions and negotiation with 3rd party suppliers in order to achieve maximum contribution

 

Client Liaison and Development:

  • Set-up and maintain client files from confirmation of events to completion and evaluation
  • Manage client communications and associated timelines
  • Attend meetings and liaise with clients where applicable to establish, maintain and
    develop relationships
  • Plan, attend and execute client planning meetings – face to face, WebEx and / or telecon,
    where required
  • Attend client debrief post event
  • Apply excellent written and verbal communication skills

 

Financial Management:

  • Accurately deliver financial aspects of events in line with company processes and procedures
  • Assist with identification and documentation of cost avoidance / saving measures
  • Support the preparation and maintenance of budgets, throughout the lifecycle of each event
  • Raise supplier POs in the company Oracle finance system
  • Approve all client invoices prior to despatch
  • Execute effective scope management – to identify and charge clients for out of scope activities
  • Cost efficient time management

General:

  • Effective interaction with other departments – e.g. Business services, IT, Finance, Creative Services and Venue Finding
  • Accurate written and verbal communications
  • Comply with all client and company privacy and security protocols
  • Achieve all client and company driven Service Level Agreements (SLAs) for all events
  • Maintain good long-term relationships with suppliers, to ensure the best value for money for clients
  • Develop and apply a good knowledge of the company’s range of services
  • Develop and apply a good understanding of clients’ businesses and products
  • Understand and apply the company’s Vision and Values and strategy at all times
  • Comply with all company and client policies and procedures, including those relating to Health & Safety and crisis management ensuring given deadlines are met at all times
  • Comply with all client and company privacy and security protocols

The preferred candidate will be familiar with digital meeting platforms and have experience in live and virtual meetings.
